Operations Associate (Part/Time)

Project SAGE is a domestic violence prevention education agency in northwest Connecticut. Who You Are
As the Part-Time Operations Associate, you are a reliable and detail-oriented team member who helps keep Project SAGE running smoothly day to day. You take pride in being organized, responsive, and dependable, ensuring that both administrative systems and the office environment are well maintained and welcoming.
You are someone who enjoys supporting a wide range of functions—from front desk coordination to financial and development support—and you handle each responsibility with care and accuracy. You are comfortable managing multiple tasks, shifting priorities as needed, and working both independently and collaboratively.

You are attentive to details, proactive in solving small problems before they become big ones, and committed to contributing to a positive, mission-driven workplace. What You Will Do
Reporting to the Operations Manager, you will provide essential administrative and operational support across multiple areas of the organization.
Office Operations & Front Desk (30–35%)
Serve as the agency’s first point of contact by greeting and screening guests, answering phones (including the hotline and main line), and providing a welcoming and professional environment. You will open and close the office on scheduled workdays, ensure the facility is secure and functioning, maintain a clean and organized workspace, manage supplies, troubleshoot basic equipment issues, coordinate mail, and monitor shared inboxes. You will also maintain visitor logs, support safety and security protocols, and assist with audit-ready recordkeeping and annual filing processes.
Financial & Administrative Support (15–20%)
Support day-to-day financial operations by preparing bank deposits, scanning and organizing deposit documentation, and coding transactions for the outsourced accounting firm. You will monitor incoming bills and forward them to the finance department, while helping track and organize financial records to ensure accuracy and completeness..
Board of Directors Support (15–20%)
Provide administrative support to the Board of Directors, including managing communications and maintaining materials in BoardSpot. You will gather and upload board and committee documents, format and archive meeting minutes, assist with scheduling and reminders, support meeting setup and coordination, and maintain up-to-date Board contact records, including running background checks for new members.
Backup & Cross-Team Support (10–15%)
Provide backup coverage for hotline phones as needed and support the Development team with tasks such as processing incoming donations, entering gifts into the donor database, and generating acknowledgments. You will also assist with the preparation and execution of the annual Trade Secrets fundraiser, with opportunities for additional hours during peak periods, and collaborate closely with Client Services and Community Engagement staff to support clients and agency activities.
What You Will Bring
We are looking for someone who has the following skills and experience:
Administrative Experience: 1–3 years of relevant administrative or office support experience, ideally in a nonprofit or mission-driven organization
Technical Skills: Proficiency in Microsoft Office Suite and Google Workspace; comfort learning new systems and databases
Organization & Detail Orientation: Strong organizational skills, attention to detail, and ability to maintain accurate records
Communication Skills: Excellent written and verbal communication skills, with a professional and welcoming demeanor
Confidentiality & Judgment: Ability to handle sensitive information with discretion and professionalism
Task Management: Ability to manage multiple priorities, meet deadlines, and work independently
Data & Financial Support Experience: Familiarity with data entry, financial documentation, or administrative recordkeeping
Equity & Inclusion: Experience working with diverse populations; commitment to respectful and inclusive practices
Preferred: Exposure to trauma-informed practices, domestic violence services, or client-centered environments
Special Requirements
Willingness to obtain certification as a domestic violence counselor (training provided)
Willingness to provide backup hotline coverage as needed
Commitment to maintaining strict client and donor confidentiality
Participation in agency events, trainings, and outreach activities
Physical Expectations
Ability to work in an office environment using standard equipment; sit or stand for extended periods; move about the office (including stairs); and occasionally lift up to 30 pounds.

We Offer
Compensation: Base hourly rate of $25.00–$27.00 based on experience, skills, and the potential you bring to the team (salary range of $29,250-$31,590)
Schedule: Part-time, non-exempt, 22.5 hours/week on-site at our Lakeville, CT office, with opportunities for additional hours
