OFFICE MANAGER

Location: Lakeville, CT | Full-Time, Non-Exempt (37.5 hours/week, on-site)

As the Office Manager, you will serve as the operational backbone of Project SAGE — making sure our office and administrative systems run smoothly so our team can focus on supporting survivors and creating social change. You are energized by the chance to wear many hats and make a tangible difference every day. Whether you are welcoming a visitor, troubleshooting an office issue, or improving a back-end process, you move easily between details and big-picture needs. Organized, proactive, and solutions-driven, you love building systems, fixing inefficiencies, and helping a mission-driven team do their best work. What You Will Do
Reporting to the Director of Operations, you will support all departments and help ensure smooth daily operations across Project SAGE, including:

1. Office Management and Operations

  • Open and close the office daily (Mon-Fri, 8:30 AM - 4:30 PM).

  • Serve as the first point of contact for visitors; answer phones and manage incoming / outgoing mail (physical and email).

  • Maintain office facilities, supplies, equipment, and agency vehicle; troubleshoot and coordinate with vendors as needed.

  • Keep the workspace organized and efficient — both physically and digitally.

  • Support safety, security, and emergency preparedness efforts.

  • Continuously improve office processes to boost efficiency and effectiveness.

2. Administrative Support Across Departments

  • Support HR functions including recruiting, onboarding, and maintaining employee records.

  • Assist with finance tasks such as processing deposits, paying bills, managing petty cash, and preparing for audits.

  • Support fundraising efforts by processing donations, maintaining donor records, and helping coordinate development materials.

  • Support the Board of Directors by scheduling meetings, preparing materials, and maintaining documentation.


3. Reinforce a Positive Agency Culture

  • Create a warm, welcoming environment for staff, visitors, and clients.

  • Foster a positive, inclusive workplace culture that emphasizes collaboration, respect, and safety for all.

  • Model trauma-informed, survivor-centered practices.

Minimum Qualifications

  • Associate’s or Bachelor’s degree or equivalent life experience

  • At least 3 years of experience in office administration, operations, or administrative support.

  • Strong organizational skills and attention to detail.

  • Excellent written and verbal communication skills.

  • Comfortable using Microsoft Office (Word, Excel, Outlook) and Google Workspace.

  • Ability to maintain confidentiality and professionalism.

  • Willingness to obtain domestic violence counselor certification (training provided).

  • Clear commitment to Project SAGE’s mission and values.

Preferred Qualifications

  • Experience supporting HR, finance, development, or facilities functions.

  • Familiarity with nonprofit operations or mission-driven organizations.

  • Experience with project management tools like Asana.

  • Experience supporting Boards of Directors or nonprofit governance.

  • Familiarity with trauma-informed and survivor-centered practices.

  • Bilingual (especially Spanish) is a plus.

Special Requirements

  • Willingness to answer and direct agency hotline calls when advocates are unavailable (training provided).

  • Willingness to drive for agency-related reasons which requires a valid driver’s license and insurance. Agency vehicle may be available for use or mileage will be reimbursed.

  • Flexibility to work outside normal hours as needed (occasional).

Physical Expectations

  • Ability to sit or stand at a desk for extended periods, lift up to 20 pounds occasionally, and move around the office (including using stairs).

We Offer

  • Compensation: Base hourly rate of $26.67–$29.74 based on experience, skills, and the potential you bring to the team (salary range of $52,000–$58,000)

  • Schedule: Full-time, non-exempt, 37.5 hours/week on-site at our Lakeville, CT office, with overtime eligibility.
